Audit
The Docmap® Audit module is designed to support an Audit process in all aspects.
The ISO definition of the process is: "Audit is a systematic, independent and documented process for obtaining audit evidence and evaluating it objectively to determine the extent to which audit criteria are fulfilled."
ISO principles and terminology is used throughout the Audit module so that auditors will recognize the various parts of the audit process and consequently find the software user friendly and suitable for their purposes.
In the Audit module an auditor can set up one or several audits based on the company's specific prerequisites. The audit is established with information about audit criteria's, auditors, auditee together with questionnaires that are to be used.
The audit criteria are set by the organization and refer to documents in the Governing Documents module. Documents outside Docmap® can also be attached to the audit. This makes it easy to share information with all parties. Questionnaires to be used in the audit can either be designed especially for a certain audit or it is possible to use already existing questions and questionnaires.
All involved parties will be notified via e-mail before an upcoming audit. The questionnaires will be used during the audit and will be a starting point for uncovering of non-conformity. The non-conformities uncovered during the audit will be handled by the Observation and Improvement module, but an overview of the status will always be available from the audit. An audit report containing audit findings, audit evidence and audit conclusions can be attached to the audit.
The audit will be closed after the non-conformities together with its action are closed. All input registered in the Audit module during the audit will be filed in Docmap®.
With the integrated search engine a user has direct access to all audits registered in the database. During a search a user will receive a complete list of all audits that comply with the search criteria. After choosing an integrated reporting format the information can be printed or exported to standard reporting tools such as Microsoft Excel for further use. All data stored in Docmap® uses an easily accessible format, allowing export to standard reporting tools.
